The Team Leader City Business Support is a crucial position within the City Business team. Through administrative expertise, project management skills, people leadership and proactive problem-solving, you will help the team to meet its objectives while providing direct support to the Manager City Business, and contribute to the continuous improvement of services that impact both the department and the community.
In this new and exciting position you will lead the coordination and delivery of timely, accurate administrative support for the Manager City Business and wider department, ensuring effective handling of correspondence, enquiries, and record management.
On a day to day basis you will be required to:
Prepare, review and manage key documentation, including reports, memos, presentations and business cases, that support departmental planning, decision-making, and continuous improvement.
Oversee the administration and scheduling of the Infringement Review Committee (non-parking), ensuring adherence to policy and timely resolution of appeals.
Support the delivery and tracking of projects and initiatives that enhance departmental efficiency and customer satisfaction.
Undertake planning and research to identify and address emerging compliance and operational issues, contributing to informed decision-making and service planning.
Ensure the accurate capture, management, and reporting of data and records in line with organisational, legislative, and regulatory requirements.
Champion continuous improvement in information and data management practices to support transparency, compliance, and performance monitoring.
Collaborate across business units to identify and embed best practice approaches in service delivery.
Partner with internal teams to optimise service processes, ensuring compliance with relevant legislation while enhancing the community experience.
Contribute to the development and implementation of streamlined customer service models that support equitable access to services, particularly in complex compliance contexts.
Maintain a strong customer focus when balancing competing priorities from builders, developers, and the broader community.
This is a permanent full time position with an annual salary range of $100,066.63 - $108,372.98 per annum + 12 % superannuation and monthly accrued day off.
We come together at least 3 days a week so we can collaborate in our vibrant office culture. When on-site you will enjoy modern and sustainable facilities and office spaces. You are based within our bright, modern and sustainable 311 Glenferrie Road office on the corner of High Street and Glenferrie Road in Malvern where boutique stores, cafes and health clubs are in abundance. From the office you can easily walk to Malvern Gardens, High Street Armadale or Glenferrie Road. Malvern and Armadale Train Station are a short walk away and tram stops are out the front of the building.

Desired Skills and Experience
It is essential that you have:
Advanced computer literacy, including proficiency in Microsoft Office Suite, TRIM, GIS, and other relevant data management systems.
Proven ability to produce concise, accurate, and well-organised written materials.
Skilled in planning and implementing initiatives that enhance team performance and service delivery.
Experience in developing strategic and customer-focused solutions to enhance service delivery and customer experience.
The ability to oversee an administration team ensuring the unit is able to be agile and efficient and meet the needs of the wider Departments priorities.
Excellent written and verbal communication skills, with the ability to convey complex information clearly and confidently.
Proven leadership capability, including mentoring, developing, and supporting staff within a team environment.
Strong relationship-building and negotiation skills, with a collaborative approach to engaging diverse stakeholders.
Significant experience in administrative, planning, or customer service roles, preferably in a local government or compliance environment.
It is preferred that you have:
Knowledge of local government operations, frameworks, and compliance legislation, with a commitment to continuous improvement.
Tertiary qualifications in business administration, or a related field are highly desirable but not essential
Experience in service improvement, governance processes, and providing accurate advice in a regulatory environment.
