Job Description

The Waste Management Business Support Officers Officer ensures the smooth and agile execution of the department’s administrative responsibilities while supporting the implementation of department projects and initiatives. 
Through administrative expertise, sound project management skills, collaboration and proactive problem-solving, the Waste Management Business Support Officer will help the Unit to meet its objectives while providing direct support to the Coordinator Waste Management. The role contributes to the continuous improvement of services that impact both the organisation and the community.

Key Responsibilities:
 

  • Be the first point of contact for administrative matters and provide effective, efficient and timely support to the Waste Management Unit and its stakeholders
  • Provide excellent customer service and represent Council in a positive and professional manner when communicating with members of the community
  • Support the financial functions of the unit, including purchasing, receipting, journal entries, preparation of payments and invoicing and similar processes
  • Prepare documents, letters, memos and presentations for the review of Coordinator Waste Management, and distribute correspondence to internal and external stakeholders upon request
  • Accurately maintain filing systems including electronically and identify process improvement opportunities to increase efficiencies
  • Provide quality, timely, accurate administrative and project management support to the City Environment department teams, ensuring effective handling of correspondence, enquiries, and record management.
  • Ensure the accurate capture, management, and reporting of data and records in line with organisational, legislative, and regulatory requirements.
  • Assist in undertaking planning and research to identify and address emerging issues, contributing to informed decision-making and service planning.
  • Champion continuous improvement in information and data management practices to support transparency, compliance, and performance monitoring.
  • Collaborate across business units to identify and embed best practice approaches in service delivery.
  • Foster a culture of customer service excellence by ensuring the delivery of responsive, respectful, and solution-oriented support to internal and external customers.

Join us in this temporary-full time role for 6 months, offering a competitive salary range of $83,480 - $95,636 plus 12% superannuation and a monthly accrued day off.

Desired Skills and Experience

What you’ll need to succeed:

•    Previous experience in an administrative, customer service or executive assistant position within a fast-paced environment
•    Strong verbal and written communication skills to respond to enquiries from various stakeholders, and prepare documents for external correspondence
•    Excellent time management skills and ability to prioritise workload to achieve specific objectives within the timeframe provided
•    Ability to apply professional or technical knowledge and experience to find solutions to problems
•    An understanding of the Waste Management Unit objectives, and those of the broad City Operations department
•    Tertiary qualification in business administration, customer service or similar discipline, or several years’ relevant experience in a similar role
•    Previous local government experience preferred but not essential
•    Demonstrated work experience in administration and business support activities that showcases applicable skills and knowledge.
