Job Description

An exciting career development opportunity for a recently graduated architecture, Engineer or Project Management student to work as an assistant project manager in our Building Projects team.

This plays a vital role in the City of Stonnington by providing project assistance and administration support for the implementation of renovation works, improvement work, building redevelopment and delivery of small projects for Council’s buildings and property portfolio. 
The Assistant Project Manager assists senior management to ensure alignment with strategic objectives, drive operational efficiency by optimising procurement and project delivery, engage with stakeholders to build strong partnerships, and foster a culture of continuous improvement that embraces collaboration, adaptability, innovation, and clear communication.

Key Responsibilities:

  • Plan, design, document and organise safe implementation of minor renovation work, improvement work and projects at Council’s buildings and properties, under the supervision of the Coordinator Building Projects. 
  • Prepare and compile project briefs, technical specifications, drawings, project co-ordination plans, quotation documents, tender documents, contracts, reports, correspondence, applications for approval, applications for grants, public notices, building manuals and building user guides. 
  • Engage contractors and consultants through Council’s Vendorpanel Procurement system and dispatch purchase orders to them. 
  • Provide administrative support to members of the Building Projects Team. 
  • Use Oneplan system to manage project works including written and financial updates.
  • Regularly report to the Coordinator Building Projects on workflow and progress of work/projects
  • Strong verbal and written communication skills to engage clients and colleagues clearly and professionally. 
  • Engage contractors and consultants through Council’s Vendorpanel systems and dispatch purchase orders to them.
  • Provide project management administrative support to members of the Building Projects Team 
  • Regularly report to the Coordinator Building Projects on workflow and progress of work/projects.
  • Provide timely service to all staff and work/project stakeholders.
  • Attend meetings with work/project stakeholders and report on progress with work/projects.
  • Communicate and liaise effectively, by the provision of timely, accurate, high quality advice, analysis and briefings on issues as appropriate.
  • Ensure the timely provision of reports, answering of staff and public enquiries and attendance to correspondence.

Join us in this temporary full time role, offering a competitive salary range of $85,404 - $97,836  plus 12% superannuation. This is a parental leave backfill position for approximately 12 months. 

Desired Skills and Experience

What you’ll need to succeed:

•    Advanced computer skills in Microsoft Office applications, Internet Explorer, email and the ability to pick up new systems quickly 
•    An understanding of building, planning, heritage conservation regulatory requirements 
•    Strong attention to detail
•    Recently graduated or finishing studies in either Architecture, Engineering or Project Management with less than 3 years’ experience in the management of building projects, though lesser formal qualifications may be acceptable with equivalent work experience.
•    Demonstrated work experience in project management that showcases applicable skills and knowledge.
•    Proficient in [specific tools, technologies, or methodologies], with a strong ability to apply these skills in a practical work setting.
•    Provide timely service to all staff and work/project stakeholders.
•    Attend meetings with work/project stakeholders and report on progress with work/projects.
•    Communicate and liaise effectively, by the provision of timely, accurate, high quality advice, analysis and briefings on issues as appropriate.
•    Ensure the timely provision of reports, answering of staff and public enquiries and attendance to correspondence.
